View and approve a booking

How to find a booking, review its details and quote, and approve or reject it. A booking is the request your Prime Freight team raises to move a specific shipment; approving it tells us to go ahead.

Before you start

Bookings that need your decision show an approval status of To be approved. You can approve or reject from the portal or from the confirmation email we send — both do the same thing.

Steps

  1. Open Bookings. Select Bookings in the left menu to see every booking for your company, whether it is approved, rejected, or waiting on you.

  2. Find the booking you want. Narrow the list using:

  3. Search — file number, port of destination, or shipper name

  4. Approval status — Approved, To be approved, or Rejected

  5. Port of origin, PO number, or ETD (estimated time of departure)

  6. Open the booking. Select a row to see its full details — routing, shipper, references, and dates.

  7. Review the quote. For bookings that are still pending, scroll to the quote at the bottom of the page to see the container price and any other charges before you decide. For more on reading a quote, see View and accept quotes.

  8. Approve or reject. Choose Approve or Reject, then confirm your choice when prompted.

  9. You're done. We email you a confirmation of your decision and notify your Prime Freight agent automatically.

Tips

  • You can download the purchase order for a booking from the confirmation window — and for any booking that's already approved.

  • Prefer email? The approval email carries the same Approve and Reject buttons, so you can act without logging in.

Troubleshooting

  • A booking is missing. Clear the approval-status filter — it may be hiding bookings that are already approved or rejected.

  • You approved the wrong booking. Contact your Prime Freight team right away so we can hold the shipment before it moves.
